The math on missed calls

Voicemail is where jobs go to die

When you're on the tools, at the chair, or with a patient, the phone still rings. Most of those callers won't wait for a callback — they dial the next name on Google.

Industry estimates from published answering-service studies; your own numbers appear in your CRM Dashboard from day one.

How it works

Live in a day. Keep your number.

STEP 1

Forward your line — or start a new one

Your choice: keep the number your customers know and forward it, or we give you a fresh local number to put on your ads and website. Either way, we set it up together — in person if you're in the Okanagan — and load your services, prices, hours, and FAQs.

STEP 2

Your Virtual Assistant answers

Name it, choose its voice, give it house rules. It answers calls, texts, and web chat with your real availability — and books straight into your calendar. No double-bookings, guaranteed at the database level.

STEP 3

You stay in the loop

Every call is logged with a full transcript. Hot leads trigger an instant text to your phone. A morning digest shows yesterday's bookings and today's schedule.

The question everyone asks

What happens when the AI shouldn't answer?

It knows its limits — and you set them. Rules you control decide when a call goes to a person, and every path is visible in your CRM Dashboard afterward.

🔀

Warm transfer during business hours

A caller who asks for a person — or hits anything the AI can't handle — is transferred to your phone right away.

💬

Messages after hours

After close, it takes a proper message, notifies you immediately, and the caller hears exactly when to expect a response.

✍️

Your rules, in plain English

"Never quote prices on furnace installs." "Always mention parking." Type instructions once — the Virtual Assistant follows them on every call.

👁

Nothing hidden

Every conversation — answered, transferred, or missed — is in your CRM Dashboard with a full transcript. You can audit any call, any time.

Everything included

A receptionist, a booking system, and a front office

Competitors answer the phone and take a message. This runs your front desk — and underneath it is a full customer-management system (CRM) you can run the business from. Want the detail? Read the complete feature guide → Or skip the reading — call (236) 466-6788 and the Virtual Assistant will walk you through any feature itself.

Who it's for

Built for businesses that run on appointments

You're under a furnace. The phone rings anyway.

A missed call in the trades isn't a missed chat — it's a $400 service call or a $9,000 install that just went to the next contractor on Google. Your Virtual Assistant answers, quotes arrival windows honestly, books the job with travel time built in — and the moment a caller says "replacement," "flood," or "emergency," you get an SMS alert on your phone while they're still on the line.

  • Instant SMS alerts on the words that matter — "replacement," "flood," "emergency" — you pick the list
  • Arrival windows ("between 8 and 10") instead of fake exact times
  • Travel buffers between jobs, automatically
  • Service-address capture on every booking
  • Estimates texted with one-tap customer approval

Your hands are in foils. The booking still happens.

Every stylist knows the trade-off: answer mid-service and annoy the guest in the chair, or let the call — and the booking — go. Your Virtual Assistant books by stylist, knows a full colour takes longer than a trim, sells your packages, and fills cancellations from the waitlist while you work.

  • Booking by specific stylist or first available
  • Service durations that vary by option (colour vs. cut)
  • Deposits that end no-shows
  • Waitlist auto-fills cancellations
  • Packages, memberships, and rebooking reminders

Front desk at lunch. Phones still covered.

Practices miss around a third of inbound calls — mostly at lunch, after 4pm, and during hygiene checks. Your Virtual Assistant books and confirms patients, handles recall reminders, collects intake forms before the visit, and keeps your schedule full without adding front-desk hours.

  • Recall and confirmation sequences that cut no-shows
  • Digital intake and health-history forms
  • Charting templates and telehealth links included
  • Patient-preferred contact (text, email, or call)
  • Invoices and payment links after treatment

Wet dog in the tub. New client on the line.

Grooming calls always come mid-groom. Your Virtual Assistant asks the questions you would — breed, size, coat, temperament — books the right slot length for the dog, and reminds owners before every appointment so your day doesn't fall apart at 10am.

  • Intake questions per service (breed, size, coat)
  • Appointment length adjusts to the animal
  • Recurring bookings for regulars
  • Reminders that actually get read (SMS)
  • Grooming notes saved per pet

You're in session. The next client still gets booked.

Counsellors, trainers, and tutors can't answer mid-session — and their clients often call after hours. Your Virtual Assistant books in-person or online sessions (the video link goes out with every confirmation and reminder), handles standing weekly bookings, and sells session packs. For counselling practices: reminders never reveal your specialty on a lock screen, and a caller in genuine distress is transferred to a human immediately — any hour.

  • In-person or virtual per booking — join link sent automatically
  • Discreet reminders: business name and time, nothing else
  • Crisis calls escalate to a person, every time
  • Session packs and standing weekly appointments
  • 24-hour cancellation windows, enforced politely

If your week runs on appointments, it fits.

Eleven industries have ready-made setups — physio & massage, yoga studios, tattoo artists, mobile mechanics, tutors, photographers, lash studios and more. The platform speaks your vocabulary, offers only the features you need, and hides the rest. Every business gets its own Virtual Assistant, its own booking site, and its own rules.

  • Terminology adapts: guests, patients, clients, or students
  • Tattoo studios: deposit-protected sessions, design photos forwarded to you
  • Mobile trades: vehicle intake, drive-time-aware scheduling
  • Studios: class capacity, passes, and waitlists
  • Features toggle per business — pay for what you use
Try it yourself

Don't watch a demo. Be the customer.

Everything below is the real product running a fictional salon. Call it, book with it, then open the owner's CRM Dashboard and watch your own call show up — transcript and all.

TRY 1 · CALL

Talk to the Virtual Assistant

Call the demo line, try to stump it, interrupt it mid-sentence, and book a fake appointment by voice. Ask it about prices, hours, anything — it answers like a front desk that read the manual, and it rolls with interruptions the way a person does.

TRY 2 · BOOK

Book online in under a minute

Every business on our platform gets this booking site. Pick a service, pick a slot, book it — same real-time availability the Virtual Assistant uses, so no double-bookings.

The payback math

What do missed calls cost your business?

Rough math, on purpose — drag the sliders to your reality. We count reminders + deposits cutting no-shows by a third, and the waitlist refilling half of cancelled slots. A part-time human receptionist in the Okanagan runs $1,300+/month; this starts at $99.

Already using something?

Switch without the leap of faith

Already paying for an answering service, a metered AI app, or a platform like Weave or Podium? Don't cancel anything. We start with the calls it's already missing — and let your own CRM Dashboard make the decision.

DAY 1

We mirror your setup

We copy your greeting, services, prices, hours, and handoff rules into your new Virtual Assistant — in person, in about an hour. You make a few test calls. Your current service keeps running exactly as it is.

DAY 1

We take your missed calls only

We set your phone to forward to us on no-answer and after hours — the calls your current setup was dropping anyway. Telus, Rogers, Bell, Shaw: we set it up with you, and it flips back off in five minutes if you change your mind.

DAY 14

Your numbers decide

We sit down with your CRM Dashboard: every call answered, booking made, and hot lead caught that your old setup missed in two weeks. If the numbers say switch, we flip forwarding fully. If they don't, you've lost nothing.

WHEN READY

We handle the port and the paperwork

Want your number moved over entirely? We file the port for you — you sign one form and share a recent phone bill, that's it. Your number keeps working the whole time (forwarding covers the transfer window), so there's zero downtime. We'll even draft the cancellation email to your old provider — you just hit send, once you've had two good weeks.

🔁 The switcher deal: bring your last answering-service or AI-app bill and migration is free, white-glove, in person — and your first 6 months are half price. Your old service stays live until you say it's done.
Pricing

One flat price. Never a surprise bill.

Every competitor meters your minutes and bills the overage. We don't. Pick the plan that matches your front office — that's the whole bill.

Questions, answered

The fine print, in plain English

Do I have to change my phone number?

Up to you — both work. Keep your number and forward it to your Virtual Assistant (always, after a few rings, or only when you're closed), or start fresh on a new local number we set up for you. Either way, switching it off is just as easy.

What if a caller needs a real person?

During business hours the call transfers to you or your staff immediately. After hours it takes a message and notifies you. You set the rules for when handoff happens, and every call shows up in your CRM Dashboard with a transcript.

I already use an answering service or another AI app. How does switching work?

Without cancelling anything. We mirror your current setup, take only the calls your existing service misses (no-answer and after hours), and after two weeks your CRM Dashboard numbers make the call. If you switch, we handle the forwarding change, the number port if you want one, and even draft the cancellation email to your old provider. Bring your last bill: migration is free and your first 6 months are half price. See how switching works.

I'm locked into a contract with my current provider. Do I have to wait?

No. Plenty of our conversations start mid-contract with Weave, Podium, or an answering service. We run as your after-hours and overflow layer on a small bridge plan until your contract ends — you stop missing calls now, and when renewal comes up you already know exactly what the switch looks like.

How long does setup take?

Most businesses are live within a day. We load your services, prices, hours, staff, and FAQs — in person if you're in the Okanagan — then you make a few test calls before your customers ever hear it.

What if it gets something wrong?

You fix it in one sentence. Every conversation has a full transcript, and if you'd have answered differently, you open Coaching in your CRM Dashboard — or tap "Teach the assistant about this" right on the conversation — and type the correction in plain English. It applies to every future call, text, and chat, and you can test it immediately. It also reviews its own transcripts daily and suggests what it was missing, so it gets better at your business every week, not just on day one.

How do appointment confirmations work?

When a booking lands, the customer gets a confirmation request by text or email and replies YES — that's it. If they don't reply, you choose what happens next: the assistant can nudge them again on a schedule you set, and you can optionally have unconfirmed slots released — after one clear final warning — so the time goes to your waitlist instead of sitting empty. Paid deposits are never touched, brand-new bookings get a grace period, and regulars you trust can be marked as never needing to confirm. Your CRM Dashboard has a Confirmations page showing exactly who hasn't replied and what happens next.

Really no overage charges?

Really. Plans have a generous fair-use level (750 answered minutes a month on Reception — most small businesses use far less). If you outgrow it, we call you and figure out the right plan together. Your card is never auto-billed for extras.

Is my customer data safe?

Each business's data is isolated at the database level, payments run entirely on Stripe (card numbers never touch our systems), Canadian data hosting is available, and you can export your complete customer list any time. It's your data — we just work for you.

Will callers know it's an AI?

It never pretends to be human. It introduces itself by the name you give it, sounds natural, and gets to the point. It runs on the latest voice-AI technology, so callers can interrupt it mid-sentence and it stops, listens, and picks right back up — no "please wait for the menu" stiffness. Most callers just care that someone answered and their appointment is booked.

What does it sound like?

Call the demo line right now: (672) 296-5229. Try to stump it. Interrupt it. Book a fake appointment. That call is the whole sales pitch.

Am I locked into a contract?

No contracts. Monthly billing, cancel anytime, and a 14-day free trial with no credit card up front. If you cancel in your first 30 days as a paying customer, we refund the month.
